Setting the correct language in your Excel workbook ensures screen readers pronounce content correctly. This is especially important for workbooks that will be shared internationally or contain multiple languages.

What This Means

The workbook language setting determines how screen readers pronounce text, dates, numbers, and other content. An incorrect setting can make content difficult or impossible to understand when read aloud.

Common Violations

XLSX-04-001: Workbook Language Is Not Set {#XLSX-04-001}

What's Wrong: The workbook doesn't have a primary language specified, or the default language doesn't match the content.

Impact: Serious - Screen readers may mispronounce content throughout the workbook.

How to Identify:

  • Check the language indicator in Excel's status bar (bottom of window)
  • Go to Review > Language to see current settings
  • If content is in one language but settings show another, there's a mismatch

How to Fix:

Setting Workbook Language:

  1. Select all cells (Ctrl+A)
  2. Go to Review > Language
  3. Select Set Proofing Language
  4. Choose the correct language
  5. Click OK

Or via Options:

  1. Go to File > Options
  2. Select Language
  3. Set your preferred language under Office authoring languages
  4. Click OK

Number Formats

Different regions use different number formats:

  • US: 1,234.56 (comma for thousands, period for decimal)
